Working hours: Mon-Fri 8.30am to 5.30pm

General duties:

Filing, preparations and storage of general and confidential documents.

Check on the correctness of all commercial documents and maintain records accordingly of deliveries, purchases and invoices.

Manage the repair and maintenance of computer, office and warehouse equipment.

File and maintain insurance coverage.

Ensure and safeguard of all office funds and petty cash.

Prepare meeting agendas and minutes.

Prepare payments in terms of bank transfers, cheques for Director’s signatures.

To handle fingerprint system for clocking in working hours.

Customer service support:

Respond to customer enquiries via the phone, emails, website enquiries and other points of contact.

To assist to manage customer feedback and ensure timely deliveries to customers.

Accounting support:

Verify, issue and authorise invoices and delivery orders

To enter data of commercial documents into the accounting system

Ensure transactions are properly recorded and entered into the accounting system

Sales & Marketing Support:

To assist in sourcing, negotiate and liaising with related parties to ensure the smooth execution of marketing activities.

Logistics & Delivery Support:

To generate commercial documents such as Delivery Orders, Sales Invoices and Purchases order.

To enter data of commercial documents into the warehouse inventory system for pick and pack by our logistics specialists.

To arrange for ad hoc delivery persons when needed.

To assist in the management of stock take when needed.

Perform any other related duties as required.
