Office Assistant

Monday - Friday 8:30am to 6:30pm
Working location: CBD area , Tanjong pagar / Downtown
$2,000 – $2,500

Duties and Responsibilities
  • Handle general administrative duties, data entry and processing of order
  • Ensure effective procurement and maintenance of office supplies (eg. PPEs, adhoc CROs for Operations) and services, review & negotiate contracts & licences with vendors/suppliers where necessary
  • Monitor all Company related administrative tasks (update ACRA, BIZFILE, etc.)
  • General office administration: (phone calls, scanning of documents, maintain proper filing and disposal of confidential documents, handle incoming and outgoing correspondence)
  • Review & monitor health & safety measures within office premises with SHSS are adequately complied with Group guidelines
  • Administrator for CorpPass; providing access to necessary staff/vendors on government transactions
  • Organize and handle the logistics aspects for meetings, workshops, annual dinner, conferences and functions
  • Maintain company’s IT assets
  • Preparing of meeting minutes
  • Assist HR in recruitment, onboarding processes
  • Create, prepare and update all office administration SOP & work procedure, if any
  • Handling expense claims for key management
  • Assist with the planning, coordination, and execution of internal events, including but not limited to office celebrations, new joiner and CSR events.
  • At times be a back-up for Receptionist

Requirements:
  • Has related experience in administration roles
  • Ability to work under stress, multi-tasking and adaptability
  • Strong interpersonal skills and communication skills
  • Dedicated individual, customer service oriented
  • A committed and responsible team player, detail-oriented, organized, meticulous, independent and resourceful
  • Able to prioritize and meet tight deadlines
  • Be an excellent time keeper
  • IT literacy and proficiency in Microsoft Word, Excel, Powerpoint, Outlook
  • Singaporean Only
